Here are the minutes of the club's Annual General Meeting (AGM) held on Tuesday 10th December 2024.


Meeting Start: 7:08pm

Attendees: Nick Cooper, Max Webber, Neil Adlem, Billy Davies, Tonia Stewart, Garry Atkins, Simon Healey, Rachel Waite, Barry Pointer, Rupert Griffiths, Sally Jones, Ian Knight, Mitchell Webber, Dave Sloan, Gary Parmenter, Les Carruthers, Nick Adnitt.

Apologies: Adam Daly, Kevin Barwick, Stu Bosley, Paul Welch, Lizzy Yates.

1). Welcome.

  • Nick welcomed everyone to the meeting.

2). 2023 AGM Minutes.

  • The minutes were agreed and duly passed.

3). Matters Arising.

  • None.

4). Club Chair, Nick Cooper.

  • Nick’s official report will be updated as soon as it is sent through, however here is a synopsis.
  • Nick has been in the role of Chairman for the last 4 years. When he first took on the role he found himself also having to take on the additional role of Racing Secretary which included running the TT’s and putting out signage around the courses. These roles took up a considerable amount of his time.
  • Nick thanked Ian Knight for his efforts and time for being Racing Secretary this year, which proved to be a difficult task due to the weather roadworks, the traffic lights at Penton, poor road conditions and the lack of riders entering the events. (BP Note, Off Topic…There was a deviation when a discussion took place regarding TT’s. I have included this in AOB.).
  • Nick reminded everyone present that all the committee positions are up for re-election at the AGM and would be dealt with later on in the meeting (Item 13).

5). Secretary's Report, Barry Pointer.

  • I would like to thank the rest of the committee for the dedication and time they have given to the club throughout the past year.
  • As often said in past years, there is an awful lot of “behind the scenes work”  that goes on to keep the club running.
  • From the second half of this year, the committee has held regular monthly meetings and intend to carry this on going forward.
  • After what seems a number of lean years for Andover Wheelers I feel this year there has been a renewed effort to enable the direction of the club to get back on track and at the present time things are looking positive for the future.
  • Hopefully there will be a renewed vigor from members to participate in future club events.
  • The Club is again affiliated to the CTT (Cycling Time Trials) for 2025.
  • I am still waiting for conformation from British Cycling to confirm affiliation for 2025.  Currently, their website say’s “application is being processed”. However it has been like this for a couple of months, I have emailed and phoned them to chase them up several times with only one response from an email and them answering the phone once.  I will continue to contact them to ensure the club is affiliated for 2025.
  • I received a message from Adam Daly to say he wishes to step down from being a committee member due to family commitments.

6). Treasurer's Report, Garry Atkins.

  • Income £2666.30.
  • Expenses £1872.21.
  • Thruxton bill to pay £720.00.
  • Write off club TT timing clocks £93.00.
  • The club made a small loss in 2023/24 of £20.00, however the club funds are still in a good position.
  • Cash at bank £5089.69.
  • Club kit stock £2867.90.

7). Membership Secretary's Report, Rupert Griffiths.

  • We have 130 paid up members as follows:

8). Clothing Officer's Report, Neil Adlem.

  • Neil reported it was good to see member’s out on the road in club kit.
  • There are 88 items of clothing in stock.  
  • He is working with No-Pinz to finalise kit design and will also still be working with Harry at Halo Sports.
  • As previously advertised, club clothing is on sale at this AGM with a 20% discount.

9). Welfare Officer and Ladies Representative's Report, Tonia Stewart.

  • Nothing to report.

10). Welfare Officer's Report, Simon Healey

  • Simon has completed the British Cycling’s Safe Wheel Course.
  • No other Issues.

11). Communication Officer/Website Editor's Report, Billy Davies.

  • Billy created a brand new website at the beginning of the year. 
  • He is also continuing to send out the weekly emails reminding members of the weekend rides and events.

12). Member Survey Presentation, Tonia Stewart.

  • Tonia presented the results of the survey carried out earlier in the year via the overhead projector and wall screen.  If members wish to have a copy, please contact the committee.

13). Election of Club Officials.

These positions were proposed and seconded en-bloc.

14). Christmas Social.

  • Sunday 15th December at New Street Football Club 12pm onwards.  The bar will be open and a buffet will be laid on.
  • A presentation event will be held end of Jan, beginning Feb 2025 (date TBC).

15). AOB.

Stu Bosley:

  1. Sunday ‘50’ steady + club rides from 9 till 12:30 / 1pm - do you think there would anyone be interested ?
  2. I regularly ride 100km audax events - is the club interested or prepared to undertake or host 50/100/200 km audax CTC events - I’d be happy to assist - I note that all local towns to us do this - Alton, Winchester, Reading, Swindon to name a few.

Stu was not present at the AGM, but a discussion took place regarding Stu’s proposals. It was decided that if Stu wished to organise the events, he would have the full help and support of the committee.

Discussion on the club's appetite for TTs:

  • With reference to the note in item 1. Off topic The Chairmans Report. And the TT’s.
  • Ian Knight said he volunteered to take on the role of racing Secretary this year, but surfaces/roadworks and lack of support of rider numbers made running the events from April to September very difficult.
  • He questioned whether running events is viable any more, and it is a shame the club is not functioning as a proper club any more. Ian said he is concerned about the number of WhatsApp groups that do not communicate with each other. It was discussed how to increase numbers for TT’s.
  • Nick Adnitt said with his role at CTT he knows every club is suffering from the same problem and suggested joining other local clubs to create a variety of courses and boost numbers.
  • Sally Jones suggested the club promote TT’s as a way for members to challenge themselves and beat their own times instead of trying to beat the fastest riders.

Proposal to change the club's constitution:

  • Nick Cooper proposed that a change to the club constitution made to enable to bring in and/or co-opt committee members during the year rather that just at the AGM to aid the running of the club.
  • This was put to the vote, seconded by BP and carried. 
  • Simon Healy will update the club constitution

Request to define the ride leader's role:

  • Les Carruthers requested that the Ride Leader's role be defined and clarified for various issues that may occur on a ride.

16). Next Meeting.

  • Committee Meeting - 7pm Tuesday 14th January 2025 at Andover New Street Football Club.
