Committee Meeting minutes, 13th November 2024

Here are the minutes of the committee meeting held on Wednesday 13th November 2024.

If you want to join the committee, then the club's Annual General Meeting will be held on Tuesday 10th December, and all members are welcome to put themselves forward for any of the committee roles.


Meeting Start:- 7:00pm

Attendees:- Nick Cooper, Max Webber, Barry Pointer, Garry Atkins, Tonia Stewart, Billy Davies, Neil Adlem, Simon Healey, Rupert Griffiths, Rachel Waite.

Apologies:- Adam Daley.

1). Welcome.

  • Nick welcomed everyone to the meeting and to Rachel Waite, who is present due to taking on the much appreciated collection of trophies and organising the engraving.

2). Past Minutes.

  • Rupert mentioned that a mistake was made in his last meeting report regarding the number of second claim members.  It should have been 11.

3). Matters Arising.

  • None.

4). Club Chair, Nick Cooper.

  • Nick apologised for not being able to attend the last couple of meetings due to work commitments. 
  • Nick also brought up the subject that all the committee positions are up for re-election at the AGM. 
  • There was a quick ‘round the table’ to ask who would be willing to stand again. A couple of members are not sure if they will stand again. However, this has no bearing if other members of Andover Wheelers wish to take on a role on the committee, and they are encouraged to come forward for election, which will take place as usual at the AGM.

5). Secretary, Barry Pointer.

  • Barry reported that he has made contact with Cycling Time Trials regarding the renewal of the Andover Wheelers affiliation fees for 2025, which will be paid before 31st December 2024.
  • Also, Barry has likewise made contact with British Cycling regarding the renewal of affiliation fees, which will be paid before 31st December 2024.
  • For the club to continue its affiliation to British Cycling, Simon who is the Welfare Officer will have to complete a ‘Safe Wheel Course’ which is now a requirement by British Cycling for a club to be affiliated. Simon is attending the course on 26th/28th Nov 2024.
  • On the subject of Simon, the committee, and I’m sure all the members of Andover Wheelers, wish Simon a speedy recovery after coming off his bike 3 weeks ago in Longstock and breaking his collarbone.

6). Treasurer, Garry Atkins.

  • Garry reported the club has a bank balance of £7998.62.

7). Membership Secretary, Rupert Griffiths.

  • Rupert reported that the club has 130 members, 8 junior, 3 youths, 109 seniors, 10 OAPs.  These figures include 25 ladies and 11 second claim members.
  • Saturday ride numbers are improving slightly, this is a reflection of Billy’s efforts to send out reminders on a Thursday evening to encourage members about Saturday rides.
  • Max reported the Sunday winter rides are up and running, with routes posted on the Andover Wheelers website with a download link for those who wish to have a copy of the route on their bike computer. Max said on the first ride, 03/11/2024, there was an accident through bikes and riders coming together, resulting in Gary Parmenter coming off and suffering a separated shoulder. The committee, and again I’m sure the rest of the club's members, wish Gary a speedy recovery.

8). Clothing Officer, Neil Adlem.

  • Neil has sold 7 of the 25 neck buffs and 3 sets of mudflaps.  No other items of clothing have been sold.

9). Welfare Officer, Tonia Stewart.

  • Nothing to report.

10). Welfare Officer, Simon Healey

  • In addition to the upcoming Safe Wheel Course, Simon said his DBS check is due in Feb 2025.
  • Regarding the accident on the winter ride, Simon has spoken with a rider who was on this ride.
  • Simon suggested running a monthly Saturday ride for newish riders who wish to ride in groups to familiarise them to group riding etiquette. Other suggestions were a pre-ride conversation highlighting points including calls and hand signals for the safety of the group or encouraging members to look online as there is plenty of information available, e.g., the British Cycling website.

11). Communication Officer/Website Editor, Billy Davies.

  • Billy is keeping the website up to date and sending out emails to encourage members to attend rides. 
  • Billy is also asking for extra content to include in the emails as a point of interest of reading, so the weekly emails do not fall into the same thing every week…so, if anyone has something of interest, please fill free to contact Billy or the one of the committee members.

12). Open TT, Max & Simon.

  • Max has paid the deposit for the booking at the Picket Twenty Community Centre as the HQ for the Open Time Trial 15/06/2025.        Simon has registered the event with CTT.

13). Trophies, Rachel Waite.

  • Rachel has the Time Trial clocks, and a conversation took place if to repair or replace the clock that does not work.  2 clocks will be necessary to run the open TT next year. Rachel will enquire to cost out if repair or replacement is the best option. The working clock is also due to be calibrated.
  • Rachel and Simon to confer as to which trophies will be awarded this year.
  • Rachel also suggested that due to the winners of the trophies having to hand them back at the end of the year, it would be a nice touch if upon presentation of the trophies winners were also handed an Andover Wheelers engraved medal which they could keep forever. Everyone agreed this would be a good idea. A vote confirmed this would go ahead.

14). Presentation Event.

  • A discussion took place regarding the best way this year to hold a dinner and presentation event.
  • It was discussed having a ‘social do and buffet’ after the 50 in 3 ride on the 22/12/2024 at New Street Football Club. As many thought it would be good to have it before Christmas. (further discussions revealed that date clashes with NSFC Christmas Draw, so the 15/12/24 may be an option. TBC).
  • A Presentation event will take place mid/end of Jan 2025

15). AOB.

  • Garry Atkins suggested, because committee members are paying for expenses from their own bank accounts presently, could he pay back, along with other costs/subs etc. up to £500 without the committee’s authority. This will of course be traceable. This was accepted by the committee.
  • Barry is currently adding Garry to CTT and BC, so payments will be able to be made directly from the club’s bank account in future.
  • Billy said he has not had any routes suggested to him for the website’s route database. An effort will be made to add more routes.
  • Members will be emailed to give notice of the upcoming AGM to encourage members to attend.
  • Tonia will present the findings of the survey at the AGM.
  • Garry asked if the committee/Andover Wheelers would consider or be interested in the Cycling in Hampshire Plans run by the Council. It was decided this would not be of interest as it focuses on commuter routes through and around town, which is not really what the Andover Wheelers do.
