Committee Meeting minutes, 15th October 2024

Here are the minutes of the committee meeting held on Tuesday 15th October 2024.

If you want to join the committee, then the club's Annual General Meeting will be held on Tuesday 10th December, and all members are welcome to put themselves forward for any of the committee roles.


Meeting Start:- 7:00pm

Attendees:- Max Webber, Barry Pointer, Garry Atkins, Tonia Stewart, Billy Davies, Neil Adlem, Simon Healey, Rupert Griffiths.

Apologies:- Nick Cooper, Adam Daley.

1). Welcome.

  • In the absence of NC, and no-one else wanting to do it 😊 BP welcomed everyone to the meeting.

2). Past Minutes.

  • The last meeting's minutes were accepted.

3). Matters Arising.

  • RG raised the issue which was discussed at the last meeting about Time Trial photos with non-members in the background.  It was decided that people attending will be asked if they mind that pictures of them may be used on various media.  This is in addition to the GDPR statement on the membership form.

4). Treasurer, Garry Atkins.

  • GA reported there is £5227.41 in the AW bank account and approx £3000 tied up with clothing stock. There has been an income of £2690.00 and an expenditure of £1416.23 since Nov 2023.  GA will update and have full report for the AGM.

5). Secretary, Barry Pointer.

  • Nothing really to report, apart from forwarding various emails to committee members from British Cycling and CTT etc. BP to forward British Cycling and Cycling Time Trials details to GA so that subs can be paid.

6). Membership Secretary, Rupert Griffiths.

  • RG reported there are 129 members, which includes 108 Seniors, 8 Juniors, 3 Youths, 10 OAPs. This includes 7 second claim members. 24 members are female, 105 are male.

7). Clothing Officer, Neil Adlem.

  • NA reported there are 90 various items of clothing in stock along with the new neck buffs and also 7 sets of mudflaps.

8). Welfare Officer, Tonia Stewart

  • Nothing to report.

9). Welfare Officer, Simon Healey

  • Nothing to report.

10). Communication Officer/Website Editor, Billy Davies.

  • BD will receive members email addresses from RG to enable him to promote club events, e.g. sending out emails to members on a Thursday to remind members of Saturday morning rides. Other emails will include events, get-togethers and kit information. To name a few.

11). Club Rides.

  • RG reported that there were about 6 riders for each of the last 3 Saturday’s. This is an area where BD emails on a Thursday will hope to have a positive effect in boosting numbers.

12). Survey Update.

  • The committee discussed the recent survey again and the various aspects of the results, and there will be a full disclosure at the AGM from TS.

13). Autumn Tour of Exeter Report.

  • The Autumn Tour consisted of a ‘Tour of 2’ …..SH and BD, a bit soggy, but a good time was had by all!

14). SH has put forward these suggestions.

A). Interim club captain and Sunday club run calendar. 

The Club Captain role is vacant, but MW has kindly organised the Sunday Club Run Calendar and will be on the website with dates and routes.

B). We need to get the trophies back. Who can organise? Drop off location, and also contact Ian Knight to find out whether he is happy to continue storing them. (and the clocks - where are they and who will store them?) 

Rachael Waite has kindly offered to organise the recall of the trophies that were awarded last year and also organise the engraving for this year's winners. RG will email the winners who have trophies from last year to ask for the return of them to RW.

GA will speak to Ian Knight this Saturday regarding the other trophies and the TT clocks. A short discussion ensued on where the trophies can be stored in the future.

C). Club TT calendar for next year. (or no club TTs?) 

There is a need to sort a calendar for TTs for next year, The weather and roads were not kind to the TTs this year, but it was suggested a similar calendar for road events could be run. SH notified the committee that the SDC require an event calendar by mid-November for club events.

D). Can we run an open TT event next year? 

A discussion about running an open TT on the P612 course during June or July 2025. TS reported that 20 members from the survey said they are keen to ride.

E). Can we run any other events next year? e.g. cyclocross, audax, sportive, velodrome visit

It was decided that there would be a lack of interest in a cyclocross event, although a Calshot Velodrome visit may be of interest.

F). We need to work out which trophies can be awarded this year and to whom.

G). Dinner/Awards event. 

It was discussed that although trophies have been won this year, there are not many to be presented. It was aired that a presentation evening in the New Year may be an option, but others still liked the traditional before Christmas event. It was agreed that some event should be organised. Even if it is not like the usual type.

H). Proposal for a short spring tour: ride down to Portsmouth on a Friday evening to catch the overnight ferry to France. Ride, drink coffee and eat croissants Saturday and Sunday and then catch the overnight ferry back. (docks in Portsmouth at something like 7am so will require Monday morning off work.)

This idea was discussed, and it was thought that the cost, distance and time would deter many members. SH will decide on a date which will be published on the website. Conversation continued with ideas regarding other trips including riding to Swanage or Cheddar Gorge and back for a day and other routes. It was decided that dates would be chosen and published and then would go ahead.

15). AOB.

  • With the up-coming AGM in December, there is the requirement to publish a list of all the Andover Wheelers Committee roles. All roles are up for re-election, and there are currently several vacant roles to be filled as well.
  • NA suggested any spare dates in next year's AW TT calendar could be filled by entering the North Hants TTs then to add the points to the AW TT League Table.  Also, NA suggested dates that did not have a TT there could be a ‘Drop Training Ride’ in its place, which could improve fitness and speed.
  • The Committee Meeting scheduled for the 12/11/2024 will now take place on the 13/11/2024 due to the New Street vs Bournemouth Wessex League match.
